One of the best ways to ensure productivity within a business is to encourage strong communication between your employees. Today, we’ll give a few tips for improving this in the workplace.

Develop Terms and Vocabulary

Specific terminology for common tasks is necessary for an effective work flow. Since everyone thinks and speaks differently, it’s important to establish vocabulary throughout the entire office. Everyone should be on the same page when discussing projects and tasks.

Not long ago, I was coding a website, and I referred to a certain element as “silly underlines.” (These objects looked silly to me in their position on the page.) I understood what they were, but when I turned to my co-worker and asked him to take a look, he had no clue what I was talking about. In this simple illustration, it’s easy to see how undefined terminology made our communication break.

Post Contact Information

This may seem like common knowledge, but it’s still important: keep a list of current employee contact information available so there is no excuse for poor communication. You should always have your co-workers’ phone numbers and email addresses on file. 

One morning I got up for work, and my keys were nowhere to be found. (I suspected my new kitten had found them in the night and decided to hide them.) I immediately texted my boss to explain my dilemma and assure him that I would arrive as soon as possible. It didn’t take long to find my keys, but if I hadn’t had his phone number, he and my co-workers would have wondered where I was all morning.

Keep it Comfortable

Remember that people learn to communicate better when they are comfortable with one another. It may be beneficial to plan a few employee get-togethers during or after work hours to get to know each other better. Make this a simple but fun activity that allows everyone to interact and communicate.

Look For New Ways to Improve

Achieving effective communication is a process. Continue to work on your personal demeanor, and make yourself approachable. Have group lunch activities. Set up an inter-office blog. Hold frequent team meetings. The more you practice, the better you will get.

Remember that when communication is lacking, production is slacking. Fostering healthy communication can increase work flow and strengthen your business practices.
